Hare Co-op Gin

Schoolhouse

Additional Fees & Requirements

ADDITIONAL HOURS: Early entry/late exit will be charged at the rate of $150/hour

REFUNDABLE DAMAGE DEPOSIT: $250

TABC-CERTIFIED SERVER: $25/hour - per server

EVENT INSURANCE: Renter must obtain and provide a Certificate of Insurance for large events

* LICENSED SECURITY: $65/hour
*We reserve the right to require professional security and event insurance for certain events, particularly evening events where alcohol is served. If required, security will be hired by Fernando's at renter’s expense.
Payment Terms

BOOKING DEPOSIT: A payment equal to 25% of the rental fee is due at booking. This amount is applied toward the total rental fee and is non-refundable. However, if rescheduling the event, the booking deposit may be applied once to a future date within 12 months of the original date, subject to availability and Venue approval.

SECOND INSTALLMENT: An additional 25% of the rental fee is due 60 days prior to the event.

FINAL PAYMENT: The remaining 50% of the rental fee (plus any additional fees) is due 30 days prior to the event.

DAMAGE DEPOSIT: A $250 refundable damage deposit is due with the final rental payment. This deposit is separate from the rental fee. It will be returned within 14 days after the event, provided there is no damage, excessive cleaning or policy violation. If the event is canceled, the damage deposit will be refunded in full.
Cancellation & Refunds
All payments applied toward the rental fee are non-refundable once due, except as specifically noted below:

More than 60 days before the event: If canceled, Renter forfeits the 25% booking deposit. At Venue’s discretion, the booking deposit may be applied once to a future date within 12 months of the original date, subject to availability.

60–30 days before the event: If canceled, 50% of the rental fee (deposit + second installment) is non-refundable. At Venue’s discretion, the booking deposit may be applied once to a future date within 12 months of the original date, subject to availability.

Less than 30 days before the event: If canceled, all payments toward the rental fee are forfeited and no rescheduling is permitted.
The security/damage deposit is always refundable if the event is canceled, regardless of timing. All cancellations and rescheduling requests must be submitted in writing. Venue cancellations will result in a full refund of all amounts paid, including the booking deposit.
